Welcome to Svanir Wilderness Ecostay.
Svanir is a small, family-run homestay set amidst nature on the outskirts of Bhubaneswar. We have only four cottages and a deliberately intimate style of hospitality. We are not a conventional hotel or resort, and some of the things we do — from our traditional bucket-and-mug bathrooms to our approach to food, waste and community experiences — are conscious choices that are part of the Svanir experience.
We want you to enjoy your time with us, and these terms are intended to make expectations clear for both our guests and our team.
By making a reservation, making a payment, or staying at Svanir Wilderness Ecostay, you confirm that you have read, understood and accepted these Terms & Conditions.
1. Reservations & Confirmation
A reservation is considered confirmed only after the required payment has been received by Svanir Wilderness Ecostay.
Unless otherwise agreed in writing, bookings must be paid for at least : 30 days before the scheduled check-in date for Travel Agency/ International Clients & 7 days before the scheduled check-in date for Domestic Clients.
A provisional reservation may be held by us for a limited period, subject to availability. A room is not guaranteed until payment has been received.
The person making the reservation is responsible for ensuring that all members of their party are aware of these Terms & Conditions and the nature of the accommodation.
Rates applicable at the time of confirmation will apply to the booking.
Any special requests — including dietary requirements, additional meals, transfers, activities, driver accommodation or special arrangements — should be communicated at the time of booking.
2. Check-in & Check-out
Check-in: 2:00 PM
Check-out: 12:00 noon
Early check-in or late check-out may be accommodated, subject to availability.
We request guests to inform us in advance if they expect to arrive significantly earlier or later than the stated check-in time.
3. Accommodation
Svanir has four cottages.
Each cottage is designed primarily for two guests.
We have:
Two cottages with king-size beds
Two cottages with Hollywood-style twin beds
Children may share a room with their parents. However, we do not provide extra beds or mattresses on the floor.
Our cottages are equipped with air-conditioning, geysers and tea/coffee facilities.
The bathrooms intentionally follow a traditional bucket-and-mug bathing system rather than providing showers. This is a conscious choice to reduce water consumption and is part of our approach to responsible hospitality.
Guests are requested to read the accommodation description carefully before making a reservation.
4. Meals & Dietary Requirements
Breakfast is included where the applicable room tariff specifies it.
Our breakfast generally includes fresh fruit, bread and homemade preserves, with eggs made to order.
Lunch and dinner are available upon prior request and are charged separately.
We serve both vegetarian and non-vegetarian meals.
We are happy to accommodate reasonable dietary preferences, including vegan, vegetarian, religious or other dietary requirements, provided these are communicated in advance.
Guests must inform us of food allergies or other dietary restrictions before arrival.
While we take reasonable care when preparing food, guests with severe or potentially life-threatening allergies should discuss their requirements with us before confirming their booking.
5. Cancellation & Refund Policy
Because Svanir has only four cottages, every reservation blocks a significant portion of our limited inventory. A cancellation close to the date of arrival can therefore be difficult for a small property like ours to recover.
Our standard cancellation policy is:
Individual Reservations — 1 to 2 cottages
30 days or more before check-in:
Full refund of the amount received, less any non-recoverable payment gateway, bank or transaction charges.
15–29 days before check-in:
50% of the amount received will be refunded.
8–14 days before check-in:
25% of the amount received will be refunded.
7 days or less before check-in:
No refund.
No-show:
No refund.
Small Groups — 3 to 4 cottages
For bookings involving three or four cottages, our cancellation terms are stricter because such a booking represents most or all of our available accommodation.
45 days or more before check-in:
Full refund, less any non-recoverable transaction charges.
31–44 days before check-in:
50% refund.
15–30 days before check-in:
25% refund.
14 days or less before check-in:
No refund.
No-show:
No refund.
For group bookings, customised arrangements or special events, a separate cancellation policy may be communicated at the time of booking.
Refund Processing
Eligible refunds will normally be processed within 7–14 working days after approval. Refunds will ordinarily be made to the original payment method or account from which the payment was received.
For international payments, the refund process may take more than one month, based on past experience, due to additional documentation, paperwork, banking procedures, regulatory requirements, and delays associated with international banking and payment processing.
Bank charges, payment gateway charges, and other charges that cannot be recovered by Svanir may be deducted from the refund.
Any exception to the above cancellation policy is entirely at the discretion of Svanir management.
6. Changes to a Reservation
Requests to change dates, reduce the number of rooms or modify the length of stay are treated as cancellation and rebooking requests and are subject to availability and the applicable cancellation policy.
A change of dates is not automatically guaranteed.
If a change is possible, we will make reasonable efforts to accommodate it. Any difference in tariff between the original and revised dates will be payable by the guest.
Promotional, seasonal or specially negotiated rates may have different modification conditions.
7. Force Majeure & Exceptional Circumstances
Svanir will make reasonable efforts to assist guests affected by circumstances beyond their control, including natural disasters, government restrictions, officially mandated travel restrictions, civil disturbance, major infrastructure failure (Power Cut) or other extraordinary events.
Where such circumstances make it impossible or unlawful for Svanir to operate, we may offer, at our discretion and subject to the circumstances:
rescheduling of the stay;
a credit towards a future stay; or
a refund, after deducting any non-recoverable costs.
Routine travel disruption, flight/train cancellations, personal emergencies, changes in personal plans, illness or adverse weather that does not prevent Svanir from operating do not automatically qualify for a refund.
Each case will be considered reasonably and on its individual circumstances.
8. No-show & Early Departure
If a guest does not arrive for a confirmed reservation, the booking will be treated as a no-show and no refund will be due.
If a guest chooses to shorten their stay after check-in, the unused portion of the reservation is not automatically refundable.
9. Guest Conduct
Svanir is a quiet homestay intended primarily for families, couples, senior travellers and guests looking for a peaceful experience in nature.
Guests are requested to:
respect the privacy and comfort of other guests;
avoid loud music, parties or disruptive behaviour;
follow reasonable instructions given by the hosts and staff;
use the property and its facilities responsibly;
respect the surrounding environment and local community;
refrain from activities that may endanger themselves, other guests, staff, wildlife or property.
Bachelor/stag parties, hen parties and similar celebrations are not ordinarily permitted. Exceptions may be considered only where specifically arranged in advance through an appropriate reference.
We reserve the right to ask a guest or group to leave the property, without refund, if their behaviour is seriously disruptive, unsafe, unlawful or contrary to these terms.
10. Alcohol & Smoking
We would like to mention that, as Svanir is located in a quiet, nature-focused zone, we do not permit smoking, alcohol, or parties on the property. We try to maintain a peaceful environment for all our guests and to be mindful of our surroundings.
Smoking is not permitted inside the cottages.
Guests must dispose of cigarette butts responsibly and must not throw them into the surrounding vegetation or wilderness.
11. Children
Children are welcome at Svanir.
Parents or guardians remain responsible for the safety and supervision of children throughout their stay.
Because Svanir is situated in a natural environment, there may be uneven ground, insects, wildlife, open areas and other natural hazards that are not normally encountered in an urban hotel.
Children must not be left unattended.
12. Pets
Pets are not permitted on the property.
13. Nature, Wildlife & Surroundings
Svanir is located close to the Chandaka-Dampara landscape and is surrounded by nature.
Guests may encounter insects, reptiles, birds, monkeys and other forms of wildlife.
These encounters are an inherent part of staying in a wilderness setting.
Guests must not feed, chase, capture, disturb or attempt to handle wildlife.
Guests must also not collect plants, flowers, stones, forest produce or other natural material from the surrounding area.
14. Responsible Travel & Plastic
We encourage guests to participate in our efforts to reduce waste and conserve resources.
Where possible, please:
carry a reusable water bottle;
avoid unnecessary single-use plastics;
use water mindfully;
dispose of waste in designated places.
As a small property in a natural setting, responsible waste disposal is particularly important to us.
15. Activities & Community Experiences
Svanir offers a range of experiences including village walks, nature walks, photography sessions, creative activities, tree planting and curated cultural and craft experiences.
We also organise or facilitate community-based excursions and interactions with local artists, craftspeople and communities.
These experiences are subject to:
weather;
seasonality;
availability;
local community schedules;
the availability of hosts, guides, artists or other service providers.
We do not guarantee that a particular activity, artist, craftsperson, wildlife sighting or community interaction will be available on a particular date.
Some experiences may involve walking on uneven terrain, travelling by road or boat, or spending time in rural and natural environments.
Guests participate in such activities at their own discretion and should inform us of any relevant mobility limitations or other requirements before booking.
16. Transportation
Svanir is located outside the main city area.
Taxis travelling from Svanir into Bhubaneswar can be difficult to arrange at short notice. Guests requiring regular transportation are therefore advised to arrange a private vehicle in advance.
Where we assist in arranging transportation through an independent driver, taxi operator, boat operator or other third-party provider, that service is provided by the respective service provider.
Unless expressly stated otherwise, Svanir does not own or operate these third-party transport services and cannot guarantee their availability, punctuality or performance.
17. Driver Accommodation
Svanir does not provide accommodation for drivers on the property.
Where possible, we can help arrange driver accommodation at a nearby establishment with prior notice.
Drivers are not permitted to stay overnight on the Svanir property unless expressly agreed in writing beforehand.
18. Personal Belongings & Valuables
Guests are responsible for their personal belongings, valuables, cash, electronic equipment, travel documents and other possessions during their stay.
Guests should keep their cottage locked when leaving the room.
Svanir cannot accept responsibility for loss or damage to personal belongings except where such liability cannot lawfully be excluded.
Guests should inform the hosts immediately if they notice any loss, damage or security concern.
19. Damage to Property
Guests are expected to treat the property, furniture, fittings, equipment and surrounding environment with care.
Guests may be charged for reasonable repair or replacement costs arising from damage caused by their negligence, misuse or intentional act, excluding normal wear and tear.
This includes damage caused by members of the guest's party or children under their supervision.
Where appropriate, we will discuss any such charge with the guest before processing payment.
20. Electricity, Water & Connectivity
Svanir is located in a semi-rural natural environment.
Occasional interruptions to electricity, water supply, mobile connectivity or internet services may occur due to circumstances beyond our control.
Airtel and Jio generally have good connectivity at Svanir, while Vodafone and BSNL may be less reliable.
We do not guarantee uninterrupted internet, mobile network, electricity or water supply.
21. Photography & Privacy
Svanir values the privacy of its guests.
We will not photograph or publish identifiable images of guests for promotional purposes without appropriate permission.
Guests are also requested to respect the privacy of other guests, staff, local residents, artists and community members when taking photographs.
When participating in community-based experiences, guests should seek permission before photographing or recording individuals, homes, rituals or private activities.
22. Personal Data & Privacy
We collect and use personal information that is reasonably necessary to process reservations and provide our services.
This may include information such as:
name;
contact details;
details of accompanying guests;
identification information required for guest registration;
booking and payment information;
dietary or accessibility requirements voluntarily provided by the guest;
correspondence relating to the reservation.
We use this information primarily to:
process and manage reservations;
comply with applicable legal and tourism requirements;
communicate with guests regarding their stay;
arrange requested services and experiences;
process payments and refunds;
maintain accounting and business records;
address complaints, disputes or security matters;
comply with lawful requests from government or regulatory authorities.
We do not sell guest personal information.
Where we use third-party service providers — such as payment processors, booking platforms, accountants, transport providers or technology providers — only information reasonably necessary for the relevant service may be shared.
We take reasonable steps to protect personal information from unauthorised access, misuse, alteration or disclosure.
23. Data Retention Policy
We believe personal information should not be kept longer than reasonably necessary.
We therefore follow a retention approach based on the purpose for which information was collected.
As a general guideline:
Booking and financial records:
We may retain booking, payment, invoice and accounting records for up to 7 years after the relevant transaction or longer where required by applicable tax, accounting or other laws.
Guest registration and identification records:
Identification and registration information may be retained for the period required under applicable laws, tourism regulations, security requirements or other lawful obligations, and will be securely deleted or destroyed when no longer required.
Guest communications:
Routine enquiries and correspondence may generally be retained for up to 3 years for customer service, record-keeping and dispute-resolution purposes.
Marketing preferences:
If you have voluntarily opted in to receive promotional communication, we may retain your contact details for marketing purposes until you unsubscribe or request deletion.
Complaints, disputes and legal matters:
Relevant information may be retained for as long as reasonably necessary to investigate, resolve or defend a complaint, dispute, claim or legal proceeding.
Website and technical information:
Certain technical information, such as server logs or security records, may be retained for a limited period for security, fraud prevention, troubleshooting and operational purposes.
At the end of the applicable retention period, information will be deleted, anonymised or securely destroyed, unless continued retention is required by law or is reasonably necessary for a legitimate legal, accounting, security or dispute-resolution purpose.
Where applicable law gives you a right to request correction or erasure of your personal data, you may contact us using the details provided below. Requests may be subject to lawful exceptions where information must be retained.
Our data handling is intended to operate in accordance with applicable Indian data-protection and privacy requirements, including the Digital Personal Data Protection framework as and when its relevant provisions apply.
24. Marketing Communication
From time to time, Svanir may contact guests who have voluntarily opted in to receive information about:
new experiences;
seasonal activities;
special offers;
events;
travel stories;
news from Svanir.
Guests may unsubscribe from marketing communication at any time.
Unsubscribing from marketing communication will not affect transactional communications relating to an existing or future booking.
25. Website Content & Intellectual Property
The photographs, text, illustrations, logos, design elements and other original content published on the Svanir website are owned by or licensed to Svanir Wilderness Ecostay unless otherwise stated.
They may not be reproduced, modified, commercially distributed or used without prior written permission.
Information about room rates, facilities, experiences and availability may change from time to time.
We make reasonable efforts to ensure that information published on our website is accurate, but certain services and experiences are seasonal or subject to availability.
26. Third-Party Services & Experiences
Svanir may recommend or facilitate services provided by independent third parties, including transport operators, guides, boat operators, artisans, activity providers and other local businesses.
Where a service is provided independently by a third party, that provider remains responsible for its own service.
We will, however, make reasonable efforts to work with reliable people and businesses and to assist guests if a problem arises.
27. Health & Safety
Guests are responsible for informing Svanir before arrival about any condition, allergy, mobility requirement or other circumstance that may materially affect their stay or participation in activities.
Svanir is not a medical facility and does not provide medical services.
In an emergency, we will make reasonable efforts to assist the guest in obtaining appropriate medical or emergency assistance. Any external medical, transportation or treatment costs will be borne by the guest.
28. Limitation of Liability
To the extent permitted by applicable law, Svanir Wilderness Ecostay shall not be responsible for indirect, incidental or consequential loss arising from a guest's stay or participation in activities.
Nothing in these Terms & Conditions excludes or limits liability that cannot legally be excluded or limited under applicable law.
Where Svanir is legally liable for a loss arising directly from the services provided by us, our liability shall, to the extent permitted by law, ordinarily be limited to the amount actually paid by the guest to Svanir for the relevant service.
This limitation does not apply where such limitation is prohibited by law.
29. Right to Refuse or Terminate a Stay
Svanir reserves the right to refuse a reservation or terminate a stay where:
false or misleading information has been provided;
payment has not been received as agreed;
the guest engages in unlawful or dangerous behaviour;
the guest seriously disrupts the comfort or safety of other guests;
the property is deliberately damaged;
the guest violates these Terms & Conditions;
continuing the stay would create a reasonable risk to the guest, staff, other guests or property.
Where a stay is terminated due to serious misconduct or violation of these terms, no refund will ordinarily be due.
30. Complaints & Feedback
If something during your stay is not as expected, please tell us while you are still at Svanir.
We are a small family-run property, and most problems can be resolved much more easily when we know about them immediately.
Guests may raise concerns with the hosts or management during their stay.
We genuinely value constructive feedback and use it to improve the experience for future guests.
31. Governing Law & Jurisdiction
These Terms & Conditions shall be governed by the laws of India.
Any dispute arising from a booking or stay at Svanir Wilderness Ecostay shall, subject to applicable law, be subject to the jurisdiction of the competent courts in Bhubaneswar, Odisha.
32. Changes to These Terms
Svanir Wilderness Ecostay may update these Terms & Conditions from time to time to reflect changes in our services, operating practices or applicable laws.
The version applicable to a booking will ordinarily be the version in effect and communicated at the time the reservation is confirmed, unless a subsequent change is required by law.
The current version will always be published on our website.

A note from the Svanir family
We have written these terms because we are a small homestay, not because we want your stay to feel formal.
There are only four cottages at Svanir. When you stay with us, you are staying in a family home in the middle of nature. We cook for our guests, take them to places we love, introduce them to people from the communities around us and try to share a little of the Odisha that we know and love.
We ask only that our guests respect the home, the people and the environment that make Svanir what it is.
